What can you do using Microsoft SharePoint? It is one of the most important teamwork applications within the Microsoft Cloud and supports a wide range of capabilities, including:
Creating internal company websites (basically intranets) for easy information access and sharing between team members.Serving as a content management system that offers centralized document storage and collaboration.Tracking of tasks, clients and other items in list formats that provide richer functionality than Excel alone.Integration with all other major Microsoft applications and services, including Office 365 and OneDrive.Given its central role within the Microsoft ecosystem and its familiarity to enterprise users (it has been available since 2001), SharePoint is an important tool for everyone from the C-suite to the front lines of the IT and sales departments. It can take business users many years to learn Excel. Learning the intricacies and nuances of Sharepoint can be a tedious process. These tasks will help you unlock SharePoint’s potential and make the most of your Office 365 implementation.
1. Share and create site templates
SharePoint gives you a lot of flexibility in customizing your sites using lists, workflows and logos. Imagine you have created the perfect website for your company. You can save your settings and not have to reconfigure everything every time. It can be exported to other SharePoint environments.
2. Collaborate with other Office document authors
SharePoint allows you to co-author Word documents, Excel spreadsheets, and PowerPoint presentations. SharePoint allows multiple users to work simultaneously on the same document without having to clash. The first allows you to see the current position of other users and the changes they make. You can also apply updates made by others at a convenient time for you.
3. Create a team site with the right permissions
SharePoint’s bread and butter is the team site. It is easy to create one. Sign in to Office 365 to create one. Follow the wizard’s instructions to set up group email addresses for everyone who will be able to access it. You can toggle the site to make it accessible to all employees or to a select few.
4. You can add files to your SharePoint instance directly from your computer
SharePoint is available in multiple versions. The two most important are SharePoint Online and SharePoint Server. Online is cloud-based, while Server is hosted on-premises. Either way, it is easy for you to add files and folders into your document library. SharePoint offers a drag-and-drop interface that allows you to upload documents directly from your computer. You can upload entire folders using the Microsoft Edge browser, which is part of Windows.
5. Learn how to use SharePoint columns
Spreadsheet ninjas will love SharePoint’s ability to group, filter, and sort complex data sets. SharePoint columns can be used to apply specific criteria to multiple lists and libraries across multiple sites. For example, you might set your columns up so that you can track invoices based on customer names and regions. SharePoint columns can be used effectively to help users locate important information quickly.
6. SharePoint views can be set up
A SharePoint view is similar to an email filter. It allows you to fine-tune the default application display to your liking, so you don’t have to sort through irrelevant information.
A view can provide quick access to specific columns in lists or libraries. You can also customize it to make it more engaging visually.
7. Find the SharePoint product that’s right for you
SharePoint Online is part Office 365. SharePoint Server is an independent product. Each product has its advantages and drawbacks. SharePoint Online is lighter and managed by Microsoft. SharePoint Server offers more granular controls that may prove useful to your company.
